Process applications that can make your business operation more effective

Many business operations use their own entirely unique processes. At the same time, many processes within organisations operating
in the same sector are actually very similar, with some processes being quite unique to that particular sector. To provide you with
inspiration and ideas as to how you can best develop processes in your particular business, we have provided examples that have
all been used as successful processes. The illustrations have been simplified – but it is possible to configure more complex models
using BPMN (Business Process Modeling Notation).

Customer Enquiry Process

Demand for transparency increases constantly, so it can be very good practice to persuade customers to participate in a process that touches on matters of support and other customer related matters. This kind of process application increases interaction with customers by giving them insight into the progress of their case from start to finish. And it makes internal handling of the case more efficient.

The five different customer enquiries in this example are taken from Barium’s own operations. They concern error notification, support, an improvement suggestion, a client proposal and an initial registration of interest. All cases can be started up via the Barium Customer Centre on the internet, although errors can also be reported via telephone and e-mail.

An incident report or support question requires clarification so that the support department can fully understand the problem. It is therefore possible to send such cases back to the customer to request further clarification. Once sufficient information has been provided, this is analysed by the support department and a decision over what measures to take is made. Wherever the case goes, the customer can follow its progress via the process map, and once processed, the customer is given the opportunity to check and approve the result. The level of priority or severity can also be defined to allow more urgent cases to be closed first. This ensures all cases reach the right person quickly and without delay and complete transparency, governance and quality control is assured for all parties concerned throughout the entire flow.

Recruiting Process

Recruiting is often an extensive process, highly suitable for running with Barium’s tool. Any recruiting process can, of course, be modeled, but here we have chosen to describe the process for recruiting summer stand-ins.

Many operations in Sweden receive hundreds of summer job applications each year. The summer job process makes it much easier to handle these and it starts with the applicant filling in a form on the organisation’s web site. An e-mail message is sent to confirm that the application has been received.

After the last day of application the organisation recruiting group get together to decide who are to be offered summer jobs, after which the applications take three directions: accepted, reserve, not accepted. An invitation, by post, is sent out to those who have been accepted. This invitation is created automatically by the Barium Process Server™ as a Word document and with the details of the summer job applicant filled in. Unsuccessful applicants receive an e-mail to say that unfortunately the company is unable to offer them a job this summer.

The process then enters the wait mode until the summer workers send in their answering letters. Once the answers have been received the process is finalised. Those in charge of the process can then extract an Excel file list of all summer workers who have been given jobs. When someone turns down a summer job the recruiting group proceeds to the reserve list and sends an offer to the next person on this list.
